Privacy Policy

Last updated 1 November 2026.

Vocal Euphoria respects your privacy and is committed to protecting your personal information. This policy explains what information is collected, how it is used, and your rights regarding that information.

Who We Are

Vocal Euphoria is a Toronto-based voice and performance coaching practice operated by Carolyn Thompson. Carolyn Thompson is responsible for the personal information Vocal Euphoria holds and is its privacy officer.

Mailing address: PO Box 30045 RPO Woodbine Heights (1500 Woodbine Ave.), Toronto ON M4C 5J2 · Phone: (647) 948-8994 · Email: carolyn@vocaleuphoria.com · Website: vocaleuphoria.com

What Information We Collect

  • Your name, email address, and phone number when you submit an inquiry or complete a booking form
  • Booking-related information necessary to schedule and deliver services
  • Payment information processed securely by third-party providers
  • For a student under 18: the parent’s or guardian’s details, and the student’s name, age group and, if you choose, their email address
  • Notes about your sessions and goals, and messages you send through Vocal Cue
  • How you found Vocal Euphoria, if you tell us

Vocal Euphoria does not store full credit card or banking details.

How Your Information Is Used

  • To respond to inquiries and manage communication
  • To schedule, deliver, and manage coaching services
  • To send booking confirmations, reminders, and follow-ups
  • To issue invoices where applicable
  • To send the studio letter, if you’ve signed up
  • To meet legal, accounting, or administrative requirements

Third-Party Services

Online booking is managed through Vocal Cue, Vocal Euphoria’s own booking system, kept on our web host. Some current students book through OnceHub, a scheduling service, until mid-2027.

Invoicing and card payments are handled through Helcim, and bookkeeping through QuickBooks Online. Payment by Interac e-Transfer is processed directly.

Online sessions take place on Google Meet or Zoom. Session times, with your name, are kept in Google Calendar. Text messages are sent through our phone provider.

These providers use your information only to provide their services to us. Some of them store or process it in the United States or elsewhere outside Canada, where it may be accessible to courts, law enforcement and national security authorities under the laws of those places.

Some pages show a Google map or a YouTube video, and the site’s fonts come from Google Fonts; Google may receive your internet address when they load. The site uses no advertising or tracking cookies, does not track you across other websites, and does not respond to browser “Do Not Track” signals because it has nothing to turn off.

If you sign up for the studio letter, your name and email address are kept in Vocal Cue. Letters and sign-up confirmation emails are sent through Amazon Simple Email Service (Amazon Web Services), which processes them in the United States. Every letter includes a link to unsubscribe.

Data Retention & Security

Booking, invoice and payment records are kept for seven years, which covers what Canadian tax law requires. Other personal information is kept only as long as needed to provide services, and the studio letter list until you unsubscribe. Reasonable technical and organizational measures are in place to protect your information from unauthorized access, loss, or misuse. If a breach of security creates a real risk of significant harm to you, you and the Office of the Privacy Commissioner of Canada will be notified as soon as feasible.

Your Rights

You may request access to, correction of, or deletion of your personal information at any time, subject to legal retention requirements. You may also opt out of non-essential communications at any time.

To make a request, contact: carolyn@vocaleuphoria.com. You will receive a reply within 30 days, at no cost. If you are not satisfied with the answer, you may complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca).

Children

For a student under 18, a parent or guardian makes the booking and gives the student’s details. Children’s information is used only to arrange and deliver their sessions, and never for marketing.

Text Messages

If you sign up to receive text messages such as appointment reminders, see the SMS Terms and Conditions.

Updates to This Policy

This Privacy Policy may be updated from time to time. Updates will be posted on this page with a new “Last updated” date and apply to future interactions.
